General Information about Hotel Bookings
MCI has reserved a large number of hotel rooms at very competitive rates in various hotels in different price categories. The majority of the hotels are located either in the city centre or in proximity to the International Conference Center Geneva (CICG), and are on a large number of bus lines. The journey from the city centre takes approximately 10 minutes by bus. All delegates staying in a hotel in the Canton of Geneva will receive a free public transportation pass.
Geneva attracts many tourists, and due to the high demand for accommodation during this period, reservations will be made on a first-come, first-served basis. We recommend booking before Tuesday 21 May 2013 to ensure availability.
MCI acts as an agent for accommodation bookings and ICPIC accepts no responsibility for any recommendations given or any transactions made.
Reservations are made on a first come, first served basis. Availability of rooms in each category is limited. Name of persons sharing rooms must be indicated. Rates are in Swiss Francs (CHF) and are intended per room, per night, breakfast, service, city tax and VAT included.

Rates are applicable for standard room, other type of rooms like deluxe room; junior suite, suite etc…are available on request.
Service & VAT included (Swiss VAT currently at 3.8% as of December 1st, 2012).
Breakfast and city tax rates if not included in room rates are based on 2012 rates, they may be subject to increase for 2013.

Payment Conditions
For hotel bookings, a deposit payment for the first night must accompany your reservation. Your booking will be confirmed upon receipt of your hotel deposit. This prepaid deposit will be deducted from your final hotel invoice when checking out from the hotel. Potential additional incidentals, such as mini-bar and telephone, must be paid directly to the hotel upon check-out.
All payments are to be made in Swiss Francs (CHF). Please indicate the participant’s name and “ICPIC 2013” on all payments.
From Tuesday 28 May 2013, only payments by credit card will be accepted.

Modification & Cancellation Conditions
Any enquiries or requests for additional information, modifications or cancellations to room reservations should be addressed to MCI in writing (fax, letter or email). Please do not contact the hotel directly.
In the event of cancellation up to Wednesday 12 June 2013, no charge will incur. After this date, no refunds will be possible.
In the event of late cancellations (after Wednesday 12 June 2013), MCI reserves the right to charge the full stay for any cancelled rooms, cancelled nights or no-shows if the hotel room cannot be resold.
Check-in/Check-out Time
If arriving after 18:00, please notify MCI Suisse SA in advance.
Extra costs apply for early check-in and/or late check-out.
General Hotel Conditions
Force Majeure
MCI Suisse SA and the Hotel will not be held responsible for either the partial or total non-execution of the contract in the event of accident, an act caused by a third party, or in case of major force such as: special measures taken by the government or local authorities, total or partial strike, lockout, fire, threats to public safety including terrorism, war, health hazards, natural disasters, flood, or some other comparable event or disaster which prevents the Hotel from accommodating the clients of MCI Suisse SA for the event or if for the same reasons the event is cancelled by MCI Suisse SA.
Closure of a Hotel
Should above mentioned offered hotel(s) close between the date the contract was signed and the start of the event, MCI Suisse SA will do its utmost to offer alternative options to the client. If the client confirms such an alternative option, MCI Suisse SA will not be responsible for any difference in rates. Should the client decline the option and book in another hotel outside of MCI’s block, pre-payments made by the client for the closing hotel(s) would be reimbursed by MCI Suisse SA.
Insurance and Liability
It is recommended that participants obtain adequate cover for travel, health and accident insurance before they depart from their countries. ICPIC and MCI as organisers cannot accept responsibility for personal injuries, or loss of, or damage to, private property belonging to the congress participants and accompanying persons.
